Location: Godalming
Salary: £23,243-£25,484 fte to be pro-rata

School Admin Assistant

Mornings term time only – 18 hours/ week.

To provide reception and administrative support to the school community.

This is a varied and fulfilling role with a mix of administrative duties.

We are looking for an Administrator who is:

Enthusiastic and cheerful and who has the ability to work collaboratively and flexibly as part of the team as well as on their own initiative
Flexible and adaptable to the needs of the role with excellent organisational skills
Has a good level of IT skills – confident in use of use of spreadsheets, Word
Confident in working with financial processes and systems
Experienced in working in an administrative or financial role and should have good communication and organisational skills.

Key deliverables include:

Reception duties – Receive visitors and deal with routine queries. Deal with school e-mails either by responding directly, forwarding or copying. Operate the school telephone and deal with queries as appropriate

Input of registers and production of daily reports ( ARBOR – training given) Recording childrens absence and following absence marks through.

General office duties

School Lunches: Collate and inform kitchen of dinner numbers daily and agree and complete weekly lunch data online on SCS system.
School Trips: Costing and booking visits and coaches for outings. Pay invoices associated with school trips. Ensure all Risk Assessment documentation is completed and on file. Use of Surreys online RA system. Booking other events such as plays, photographer, cycling proficiency, swimming
School Fund: Receive, record, bank and reconcile various school income streams following school procedures. Maintain accounting records on Pebble package and prepare the monthly reconciliation
After School Club: Maintaining the booking system (Excel) for the clubs working with the Club Manager. Issue and manage invoices. Develop and maintain systems ( ARBOR) to support the administration of the clubs.
Data management and returns: Teacher Assessments input to MIS/ARBOR. Other miscellaneous data management as directed e.g. EWO reports.
Miscellaneous: Assist in maintaining class registers and liaise with School Welfare Officer re absenteeism. Administer the school milk and veg schemes. Ad hoc tasks as identified by the Office Manager in support of the office and school.
